Every quarter I export our user and access data, combine it into a master spreadsheet, and send chunks of it to department managers to review and certify. The spreadsheet is somewhere around 10,000 rows now, covers about 14 systems, and Excel struggles with it on most machines. Last quarter it crashed twice during the final consolidation step and I lost about two hours of work. We're on Microsoft 365 so I tried moving it to SharePoint and doing it in the browser but that was worse. The manager review part is its own problem. I send each manager a filtered tab with their team's access. Some of them review it carefully. Most of them scroll through it, change nothing, and send it back in under five minutes for a list of 40 people across 8 systems. I have no way to tell the difference between a manager who genuinely reviewed everything and one who just hit reply. They all look the same in the spreadsheet. We've done this process four times now and each cycle takes me about three full days of work. Pulling exports, cleaning data, building the spreadsheet, chasing managers who don't respond, consolidating responses, documenting exceptions. For a quarterly process that's roughly 12 days a year just on access reviews, not counting the actual remediation work that comes out of it. Is there a lightweight tool that handles this without requiring us to buy a full IGA platform we can't afford or justify at our size?

Synthesis verdict
**Go** for the idea of building a lightweight tool to automate the access review process. The key to success lies in simplifying the data integration and manager review processes while maintaining a lightweight and affordable solution. There is a clear, urgent, and recurring pain point for mid-sized organizations that lack budget for enterprise Identity Governance and Administration (IGA) platforms but still must comply with audit, SOX, or internal access control requirements. The market is underserved, with most vendors targeting enterprises and none offering a frictionless, low-cost, no-code solution for this specific workflow. However, the competitive landscape is crowded, and sustaining a competitive edge would require continuous innovation beyond a simple spreadsheet replacement. The tool must balance simplicity with functionality to justify the cost savings over manual processes.

“The key to success lies in simplifying the data integration and manager review processes while maintaining a lightweight and affordable solution.”

Building a lightweight tool to automate the access review process is feasible for a solo or 2-person team within 4-12 weeks. The main challenges lie in data integration from 14 different systems and implementing a manager review process that can verify the authenticity of the review. However, the core functionality can be achieved by creating a web application that handles data import, processing, and reporting. The team can leverage existing libraries and frameworks to simplify tasks such as data cleaning and spreadsheet generation. The most complex part will be creating a user interface that allows managers to review and certify access, while also tracking their engagement. Given the relatively contained scope and the fact that it's a web-based application, a small team can realistically build a functional v1 within the given timeframe.

“Lack of scalable, affordable technology integration with existing Microsoft 365 infrastructure doomed from the start.”

The proposed solution faces imminent demise due to **platform risk** (Excel/SharePoint limitations already causing crashes and inefficiencies), **churn** (ineffective manager review process leading to potential security gaps and lack of accountability), and **no-budget customers** (inability to afford a full IGA platform, with no viable lightweight alternative identified that integrates with Microsoft 365 seamlessly). The manual, time-consuming nature of the process (**12 days/year for a single person**) is unsustainable and prone to human error, exacerbating the first two risks. Without automation or a tailored, affordable solution, the process will either collapse under its own inefficiency or fail to deliver its security/compliance purpose, leading to potential regulatory issues.

“Organizations don't need full IGA - they need a cheap, automated, audit-proof way to prove their managers actually reviewed access, not just clicked 'approve'.”

There is a clear, urgent, and recurring pain point for mid-sized organizations (50-500 employees) that lack budget for enterprise Identity Governance and Administration (IGA) platforms but still must comply with audit, SOX, or internal access control requirements. The user is manually managing a high-stakes, time-intensive process that consumes 12+ days annually - a cost that compounds with each quarter and risks compliance failure due to unreliable reviews. The audience isn't just IT admins; it's compliance officers, auditors, and operations leaders who need defensible proof of access reviews, not just checkboxes. The unmet need is lightweight, automated, audit-trail-enabled access certification that integrates with Microsoft 365, requires zero training, and costs under $5k/year. Existing tools like Microsoft's built-in Access Reviews (in Entra ID) are underutilized or require premium licenses - but a $20 - $50/month SaaS tool that auto-pulls Azure AD/Entra data, auto-filters by department, sends branded certification requests with deadline reminders, logs review time and comments, and exports compliant audit reports would be instantly adopted. There are thousands of SMBs and mid-market teams in regulated industries (healthcare, finance, education, government contractors) facing this exact problem. They don't need full IGA - they need a 'certification automation layer' that plugs into their existing Microsoft stack. The market is underserved: most vendors target enterprises; none offer a frictionless, low-cost, no-code solution for this specific workflow. This is a $100M+ niche opportunity with zero dominant players.

“A lightweight access - review tool can improve efficiency, but without proprietary workflow locks or deep system integrations it faces easy imitation from incumbent IGA and GRC vendors.”

The described problem - quarterly user - access certification that is painful in Excel and lacks verification of manager review - is a common governance, risk, and compliance (GRC) need. Established IGA platforms such as SailPoint IdentityIQ, Okta Identity Governance, and Azure AD Access Reviews already provide automated data collection, role - based filtering, attestation workflows, audit trails, and remediation tracking. Mid - market alternatives like RSA Archer GRC, ServiceNow GRC, and specialized tools such as JumpCloud Directory Insights or BetterCloud also offer lightweight access - review modules. A new entrant could differentiate by offering a ultra - lightweight, spreadsheet - friendly SaaS that imports CSV/Excel exports, lets managers certify via simple web - based checkboxes with forced - view tracking (e.g., time - stamped scroll depth or mandatory comment fields), and automatically consolidates responses without requiring heavy IGA integration. However, the barrier to entry is low; larger vendors can quickly add similar lightweight modules, and many organizations already have access to basic review features within their existing Microsoft 365/E5 suites (e.g., Azure AD Access Reviews). Thus, while a purpose - built tool could save the user time, its differentiation would likely be incremental rather than defensible unless it couples unique workflow automation, deep integration with niche systems, or a pricing model that undercuts enterprise suites. The market is crowded, and sustaining a competitive edge would require continuous innovation beyond a simple spreadsheet replacement.

“The tool must balance simplicity with functionality to justify the cost savings over manual processes.”

The idea addresses a clear pain point in access review processes for mid-sized organizations. The current manual approach is inefficient, error-prone, and lacks accountability. A lightweight tool that automates data consolidation, provides a user-friendly interface for manager reviews, and tracks review quality could significantly reduce the 12 days/year spent on this process. Pricing could be tiered based on the number of users/systems, with a base price of $500-$1,000/year for small organizations and scaling up to $5,000-$10,000/year for larger ones. Conversion could be driven through a freemium model or free trial, targeting IT/security teams in organizations with 50-500 employees. Gross margins could be high (70-80%) given the digital nature of the product. The key insight is that the tool must balance simplicity with functionality to justify the cost savings over manual processes.
